Approval workflows for Google Forms

Okaypath turns every form response into an approval request. Approvers click Approve or Reject in the email, with no sign-in and nothing to install. The requester hears back with comments, and every decision is on record.

How it works

  1. Open your form, then Extensions > Okaypath > Set up approvals. Add one or more stages. Approvers can be fixed addresses or a question on the form, like "Your manager's email".
  2. Click Send me a test. Every stage comes to you, in the real order, so you see exactly what approvers and requesters get. Tests are free.
  3. Click Review and turn on. You see the full list of who gets email before anything is sent.
  4. When someone submits the form, the first approver gets an email with Approve and Reject buttons. The button opens a short confirm page where they can add a comment.
  5. Okaypath moves the request to the next stage, then emails the requester the decision with comments and a PDF record.

What's included

Route by answer

A stage can run only when an answer matches: amount over 1,000 goes to Finance, "Department is Sales" goes to the sales lead.

Decide from the email

No sign-in, no account, no install for approvers. Nothing is recorded until they press Confirm, so email link scanners can't approve by accident.

Nothing slips

Reminders, escalation to a backup person after a few days, out-of-office delegates with an end date, and "Pass to someone else" on every request.

Comments go back

The requester gets the decision with every approver's comment. Rejections can require one.

On the record

A log spreadsheet of every request and decision, and a PDF record of each finished request, attached and optionally saved to Drive.

See where it's stuck

The Requests tab shows who each request is waiting on and any email that couldn't be sent. Resend, approve on someone's behalf, or cancel in one click.

Pricing

Free trial: 25 approval requests or 14 days, whichever comes first. No card needed to try it. Test requests, reminders and decisions never count.

Individual

$96 per year

or $12 per month. One person sets up approvals on as many forms as they like.

Team

$600 per year

or $65 per month. Everyone at your company email domain is covered.

Every plan: unlimited requests, approvers and forms; reminders, escalation and delegates; PDF records and the log spreadsheet. Requesters and approvers never need a license.

Renewal and cancelling. Subscriptions renew automatically at the same price each month or year until you cancel. Cancel any time in one step: Extensions > Okaypath > Plans and billing > Manage billing. You keep access until the end of the period you paid for.

UK and EU customers have 14 days from purchase to cancel for a full refund (right to cancel). Email hello@greatwork.company or cancel in Manage billing.

When a trial or plan ends, new responses wait on hold. Nothing is sent and nothing is lost: they start as soon as you upgrade.

Questions

Do approvers need Google accounts?

No. Any email address works. They click a link and confirm on a web page.

How fast does the next stage go out?

Usually within the hour, and immediately whenever a new response arrives or you click "Check for decisions". Google limits add-ons to hourly background runs.

What if an approver forwards the email?

Anyone with the link can decide as that approver, the same as a forwarded approval email anywhere. Approvers should use "Pass to someone else", which records the handoff.

How many emails can it send?

Google's daily sending limit for your account applies (about 100 recipients a day for personal Gmail, 1,500 for Google Workspace). Okaypath shows the remaining count and retries anything that hits the limit.
