Rosterwell is a shift scheduler that lives in your own spreadsheet. List your people and the shifts you need covered, press Auto-schedule, and every shift is filled with the right role, nobody double booked, enough rest between shifts and nobody over their hours. Weekends and nights are shared fairly, and any shift it can't fill comes with the reason.

What it keeps track of

Roles and coverage

Each shift says which role it needs and how many people: two Baristas to open, one Lead, one Cook. A shift needing three people gets three rows.

Availability and time off

Per weekday: any time, off, or hours like 9:00-17:00. Approved time off is never scheduled; pending requests are avoided and flagged.

Hours and rest

Max and min hours a week, max shifts a week, a minimum rest between shifts (10 hours by default) and the most days in a row.

Fairness

Weekend and night shifts are shared as evenly as the rules allow. Minimum hours are filled first. Prefers and Avoids count whenever there's a choice.

Overnight shifts

22:00 to 06:00 is one shift. Rest, hours and nights are all counted across midnight.

Any period

A week, two weeks, a month or custom dates up to 62 days. Locked rows stay put when you run it again.

When a shift can't be filled, you'll know why

Instead of a blank cell, you get the reason for every person who has the role, so you can decide whether to ask someone to stretch, move a shift, or hire. Try another mix gives a different roster that keeps the same rules.

Swaps, checked before you approve

The Swaps tab with pending requests and the sidebar checking each one: one needs someone to take it and lists who is free and allowed, another names a person who doesn't have the role.

Anyone with edit access adds a row to the Swaps tab: date, shift, who's giving it away and who takes it. Rosterwell checks each request against the same rules, lists who could take it if nobody's named, and Approve updates the Roster and records the result.

Free for 14 days or 10 auto-schedule runs, whichever comes first, with every feature. No card needed to try it. Setting up and checking your own edits never uses a run.

Questions

How do I open it?

In a Sheet: Extensions > Rosterwell > Open scheduler. Press "Try it with a sample team" to see a week filled before you type anything.

What counts as a run?

Each press of Auto-schedule (or Try another mix), for any period up to 62 days. Setup, the sample team and the checks on your own edits don't count.

Does it put shifts in my staff's Google Calendars?

Not directly: that would need access to calendars, which we don't ask for. Each person gets a calendar file to import (Google Calendar, Outlook, Apple Calendar), and you get a message to send them.

What tabs does it add?

Staff, Shifts, Time off and Swaps (yours to fill in), Roster, Rosterwell grid, Rosterwell totals and Rosterwell schedules, and a hidden Rosterwell history tab with earlier versions of the roster.

Do my employees need the add-on?

No. Only the person building the roster. Staff can read the Sheet if you share it, or get their own schedule as a file or a message.
