What it does

Times from your hours

Weekly hours, appointment length, a break between, how far ahead, notice, days off. Bookpane builds the list and keeps it current.

No double booking

A time leaves the form as soon as it's booked. Anything already on your calendar never shows up.

On your calendar

Each booking becomes an event with the person invited, their answers in the description, and an optional Meet link.

Group sessions

Set seats per time. The form shows "(3 left)" and one event holds everyone.

Approve first

Turn on approval and each request waits for you. The time is held until you decide.

Reminders and changes

Confirmation, reminder, moved and cancelled emails, with each person's own local time.

Move or cancel

People edit their response to pick a new time or cancel. Declining the invite frees the time too.

It's still your Google Form: ask for a student ID, a topic, a file, anything.

How to set it up

  1. Install Bookpane, open your form, then Extensions > Bookpane > Set up booking.
  2. Click "Add a Pick a time question" (or pick a dropdown you already have).
  3. Type your open hours, like 9:00-12:00, 13:00-17:00, and the appointment length. Preview the times.
  4. Choose the calendar, invitations, approval and emails, then click Turn on booking. You see what changes on the form and every email before anything happens.

Team plan: everyone on your school or company Google Workspace domain.

Free trial: 14 days or 30 bookings, whichever comes first. No card needed. One booking is one new booking or approval request made through the form. Moves, cancellations, approvals, reminders, previews and test emails are free.

When the trial ends without a plan, the form closes to new bookings so nobody books a time you can't confirm. Existing bookings and calendar events stay. A response that arrived right at the limit is held and booked automatically when you pick a plan.

Renewal: yearly and monthly plans renew automatically at the same price until you cancel. Cancel in one step from Extensions > Bookpane > Plans and billing; you keep access until the end of the period you paid for.

UK and EU customers: you have 14 days from purchase to cancel for a full refund (your statutory right to cancel). Email hello@greatwork.company or cancel in Plans and billing.

Questions

Which calendar do bookings go on?

Your main Google Calendar by default, or any calendar you can edit (paste its ID from Google Calendar settings). You can also name other calendars whose events should block times.

Can several people book the same time?

Yes, if you want: set "People per time" above 1 for workshops or group sessions. The form shows how many seats are left and the time closes when it's full.

How do people change or cancel?

Their confirmation email has a link to their response. They pick a new time or "Cancel my booking" and submit. You can also cancel any booking from the sidebar, and if someone declines the calendar invitation, the time opens up again.

What if I don't want calendar invitations?

Switch invitations off and bookings still go on your calendar quietly. Or switch calendar events off entirely: confirmations then carry an .ics file people can add to any calendar.

What does it need permission for?

To see and change the form it's opened in, create and update events on your calendars and check when you're busy, send the emails you turn on from your account, run when you're not there (so every response is handled right away), show its sidebar, and check your plan with our licensing server. It can't read your email or your Drive, or change your calendar settings or sharing.

What happens when my trial ends?

We email you a few days before. When it ends, Bookpane closes the form to new bookings. You are never charged unless you choose a plan.

Privacy

Your responses and bookings stay in your Google account. Bookpane stores its settings and the booking list inside the form (document properties) and writes events to the calendar you choose; it never sends response or calendar data to our servers. Our licensing server only sees your Google account email and how many bookings you've used. Calendar access is used only to find your busy times and to create, update and remove the booking events Bookpane made.
